What “who is going” really means

A useful travel picture usually includes:

- Athlete committed / tentative / out - Clearance status for competition that weekend - Emergency contacts coaches can open at the venue - Notes for early departure, roommate constraints, or medical limits - Staff-visible flags for hotel or travel fee collected **by you** (money still flows to your program — the desk tracks status, it does not become a payment processor pitch)

You do not need a giant form with forty fields. You need one place that matches how your coaches already think on the bus.

Why group texts fail on the road

Texts are fine for “bus leaves at 6.” They fail for:

- Auditing who said yes three days ago - Proving clearance when a tournament desk asks - Handing the list to an assistant coach who joined late - Keeping last month’s tournament from polluting this month’s list

Screenshots of chats are not an ops system. Neither is a Sheet that only opens on the director’s laptop at home.

Public site vs travel ops

Parents still register for seasons and pay deposits on your **public working site**. Travel weekends are mostly **staff ops** after the roster exists. Collecting a season waiver at Register helps; it does not replace a weekend-specific who-is-going list. Keep marketing and ops separate.

What we will not claim

We will not invent live tournament clients or promise we book flights. Academy OS is about staff visibility and keeping one list. Hotel vendors, bus companies, and tournament portals stay what they are. Your desk should not pretend to be all of them.

After the weekend

Close the loop: mark who actually traveled, capture injury notes that started on the trip, and archive the weekend list so it does not pollute next month. Travel ops is not only Friday packing — it is Monday follow-through.
