Mid-season roster changes without rewriting three trackers

Someone quits. Someone joins. Someone moves from the U12 group to the U14 practice block. In spreadsheet world that means rewriting the attendance tab, the fee tracker, the travel list, and the coach’s phone notes — and hoping they stay in sync.

Mid-season roster change is normal. Rewriting three trackers every time is optional. Academy OS is the staff desk for add / drop / move without rewriting everything. Talk-first. Quote after conversation. No checkout button. No public OS price. https://www.getcccm.com/academy-os

What breaks when rosters move

- Attendance history points at the wrong group - Clearance status does not follow the athlete - Travel weekend lists still show the old team - One coach’s private list disagrees with the director’s master - Parents get the wrong practice time because nobody updated the “public” Sheet that was never public

The cost is not only time. It is wrong kids at the wrong gym and missed communications.

Clean add / drop / move

A usable ops desk should let staff:

- Add an athlete to a current season roster with the fields you actually use - Drop or archive without deleting history you may need later - Move between groups or locations without starting a new ghost record - Keep clearance and contact info attached to the person, not the tab name

That is the point of Academy OS conversations — not a flashy roster demo.

Public Register vs internal roster

Families still need a **public** way to join seasons, camps, and clinics. That is the CCCM working site (separate product). When a new athlete Registers and pays **you**, office confirms the seat; the ops desk then carries them through the season’s adds and moves. Do not ask your marketing homepage to be the roster database. Do not hide signup behind software strangers cannot find.

Clubs and sports-leaning programs often keep the public half at https://www.getcccm.com/sports.

Invented sample (not a client)

“Harbor Skills Collective (invented) ran three parallel Sheets for ‘fall roster,’ ‘attendance,’ and ‘travel.’ Moving one athlete took forty minutes and still broke Saturday’s bus list. They opened an Academy OS talk to collapse add/drop/move into one staff picture.” Invented — not a live academy.

When the pain is real enough

If you only shuffle one athlete a month and one person owns every file, you may wait. If coaches already argue about who is on which list, or tournament weekends expose ghost athletes, have the conversation now.

Communicate the move once

When an athlete changes groups, staff should update the desk first, then send one clear note to the household — not three conflicting texts from three coaches. Update the staff desk first; then send the message. That order prevents “I thought practice was still at Gym A” on Wednesday.

Often yes; messy files take longer. We say what is realistic on the call.
Do dropped athletes vanish forever?
Good ops keeps history. Exact retention is part of how we set up your desk.
Is this the same as a public waitlist page?
No. Waitlist/Register is public-site work. Mid-season roster ops is staff-desk work.
