Release + roster info together

Keep the language human
Skip walls of all-caps legalese when a short plain paragraph plus link to full terms works. Parents finish forms on phones in the car line. If someone declines photo use, your staff desk needs to honor that — the public form is only the capture step.
After signup: who can see the release answer
Public Register captures consent. Your registrar or ops desk must be able to see who said no to photos before photo day. If that lookup still lives in a paper pile, plan the handoff — site first for capture, staff process for enforcement. Do not publish kids who declined photo use because the clipboard never made it to the photographer.
Faith or school-shared clubs
If you share branding with a parish or school, align release language with their rules. Still collect it at club signup so you are not depending on a different office's filing cabinet. When a team roster is full, stop new Registers for that package; keep a waitlist form if you use one.
