Open house RSVPs should not live in a group chat
Open house season turns into a group chat of “are you going Saturday?” and a spreadsheet someone updates from memory. Families who never joined the chat never RSVP. Your greeters do not know how many seats to set.
Put RSVP on the public site next to enrollment. Parents finish on a phone. You get a list you can print before anyone unlocks the lobby.
What the RSVP page should include
- Date, time, parking, and which door to use - Who should come (parents only, kids welcome, age of kids) - How long the tour runs - What to bring - Optional: interest in a grade or start term - Link onward to Enroll / deposit if they are ready the same week
Keep rain-plan notes short. Do not bury RSVP inside a PDF calendar that only the PTA can find.
If you run two dates, list both clearly. If one fills, show a waitlist message instead of silence.

After the open house
Follow up from your own list. Offer enroll for families who are ready. Keep paper for grandparents who prefer it. The site remains the default for next month’s tour.
Capture the questions people asked in the hallway and turn the common ones into short site copy. That cuts repeat email.

Attendance during the school year, clearance flags, and staff-desk ops are Academy OS — separate product, conversation first, no online checkout price. Open house RSVP is a public-site job.

Day-of operations
Print the RSVP list. Highlight first-time visitors. Note siblings. Put a greeter on the door with the list — not on their personal phone scrolling a chat.
After tours, mark who requested a follow-up call. Your site started the relationship; your people close it.
Virtual or hybrid open houses
If you offer a video walkthrough, still collect RSVP. You need names and grades, not just a view count. Put the video link behind or beside the form — your choice — but do not skip the list.

Staffing the event from the list
Assign roles from the RSVP count: greeter, classroom guide, tuition table, childcare corner if you offer it. When twenty families RSVP and you planned for eight, you feel it the morning of — better that morning than at the door with no chairs.
