Publish your admissions timeline so parents stop emailing the same questions
“When do tours start?” “When is the deposit due?” “Is it too late for fall?” Your office answers these every year. Put the admissions timeline on the public site so parents can self-serve the obvious parts.
What to put on the timeline page
- Inquiry / interest window - Tour and open house dates (or “rolling tours — book here”) - Application or enroll open date - Deposit deadline - Re-enrollment window for returning families - First day of school - What happens if you are full (waitlist link)
Update it when dates move. A wrong timeline is worse than none.
Tie timeline to action
Every date should offer a next step: RSVP, Enroll, Waitlist, or Email. A static paragraph with no button still creates inbox load.
Working site rental
CCCM builds and runs the public site where timeline + Register live together:
- $149 first month, then $99/month, three-month minimum - Live ~one business day after paid checkout and complete details - Monthly tweaks for date changes - Checkout: https://www.getcccm.com/checkout
Families pay you. We never hold tuition.
Rolling admissions
If you accept families year-round, say so. “Rolling” without a form still forces email. Rolling plus Register is the point.
Invented snippet (not a client)
“Harbor Classical (invented): Jan tours · Feb enroll opens · Mar 15 deposit · Waitlist after capacity.” Invented sample only.
Align marketing and office
If Instagram says “enroll now” and the timeline says “opens February,” you create anger. One source of truth on the site; social links to it.
Late applicants
Add a line for mid-year transfers if you take them. “Too late” without a waitlist or mid-year note just multiplies emails.
Plain next step
If a working public Register site is what you need, start at https://www.getcccm.com/checkout or email hello@getcccm.com with your school or club name, city, and what you run. If you need staff-desk ops instead, use https://www.getcccm.com/academy-os and expect a conversation — not a self-serve price button.
Print and PDF versions
Some grandparents want a one-page PDF of dates. Generate it from the same facts as the website. Do not maintain a separate shadow calendar in a drawer.
Why this matters for your office
Every unclear public step becomes a repeated conversation. Your team already teaches, coaches, or greets. They should not also be a human FAQ for facts that could live on one page. A working site does not replace hospitality. It protects hospitality for the questions that deserve a human.
If you are comparing vendors, ask who updates dates after launch, where deposit money goes, and what you keep if you cancel. CCCM’s answers: we update on your tweak requests; money goes to you; after the three-month minimum you can export text, photos, and contacts (not the design).
Admissions timeline for hybrid and microschools
Hybrid programs should show which days are on campus when that affects touring. Microschools should show cohort start months even if the calendar is short. Parents planning work schedules need those anchors.
If your year has two entry points (fall and January), put both on the page with separate enroll buttons or clear labels. One mushy paragraph creates duplicate emails asking “did I miss it?”
Coordinating with shadow days
If students can visit a classroom, add shadow-day rules to the timeline: who may shadow, how to request, and how it relates to enroll. Keep safety rules short and firm.
