Parent view vs staff desk in Academy OS — what each side sees

Parents want clarity. Coaches need control. When those worlds share one spreadsheet, either parents see too much (other families’ contacts, staff notes) or too little (they still text “are we cleared?” every Monday). Staff desk is the main record

Coaches and admin typically need:

- Full roster tools for their permitted groups - Attendance marking - Clearance and return-to-play notes - Travel-weekend composition - Internal comments parents should never see

Not every volunteer should edit the whole academy. Permissions are part of the setup conversation (see also our multi-coach permissions angle).

Parent view is a slice, not a dump

A useful parent slice might include:

- Their athlete’s upcoming sessions or travel commitment status - Whether a required form is still missing - How to update a phone number without emailing the director - Links you choose (film, handbook PDF, public Register for the next season)

It should not include other families’ data, staff gossip, or medical files that do not belong on a phone in the carpool line.

Public website is still not the parent portal

Your **marketing / Register site** is for strangers and new seasons — packages, deposits to **you**, waivers at signup. Academy OS parent view (when you use one) is for families already inside the program. Do not confuse a public homepage with a login desk. Do not delay Register until a perfect portal exists.

Clubs often keep the public half discoverable via https://www.getcccm.com/sports. Ops boundaries stay on the Academy OS side.

Why we will not publish a fixed OS price list

How wide the parent slice should be depends on your sport, ages, and risk tolerance. Some programs want almost nothing parent-facing beyond email. Others want travel RSVP. That is why Academy OS is quoted after conversation — not sold as a buy-online package with a public OS price.

Choosing this month

If parents cannot enroll without a DM, fix the public working site first. If enrolled families and coaches are leaking data through shared files, book the OS talk. If both hurt, say so honestly — we will not pretend one product is the other.

Start narrower than you think

Many programs should launch staff-only, then add a tiny parent slice (missing forms, travel RSVP) once habits exist. Opening every note to parents on day one creates support load and privacy risk. Expand on purpose on the call — not because a demo checklist looked complete.
