Umbrella school and satellite program signup without phone tag
Umbrella schools and satellite programs exist so families can affiliate without reinventing compliance alone. The offer fails when signup lives in “call us” and a spreadsheet only one person understands.
Put affiliation packages, fees, and a Register form on one public page parents can finish on a Tuesday night.
What parents need to see
- Who you serve (county, state, ages, faith stance if any) - What affiliation includes (record-keeping, transcripts, testing guidance — only what you actually provide) - What affiliation does not include (daily instruction, curriculum you do not sell) - Annual or term fees in plain numbers - Deadlines for new vs returning families - Documents you need from the household - How families pay **you** - A form that captures parents, students, and grades in one pass
If you offer tiered packages (records-only vs enrichment add-ons), list them as packages — not a matrix screenshot from a staff meeting.
Phone tag is not hospitality
Hospitality is answering hard questions. Phone tag is re-explaining the fee and the due date because the site never said them. Publish the mechanical facts. Save human time for the families who need counsel about fit, special situations, or late enrollment.
A voicemail that says “check the website” only works if the website actually answers.
CCCM working site
- $149 first month, then $99/month, three-month minimum - Done-for-you public Register page - Money goes to your school or program account — CCCM never holds fees - Checkout: https://www.getcccm.com/checkout - If you also run sports or clubs: https://www.getcccm.com/sports
Staff-desk ops for attendance-heavy programs: talk first at https://www.getcccm.com/academy-os — no public OS price.
Invented sample (not a client)
“Riverbend Umbrella (invented) lists records-only and records-plus-enrichment packages, spring and fall deadlines, and a Register form that emails the office a complete household.” Invented — not a live umbrella.
Compliance honesty
Do not invent legal coverage you do not provide. If families remain responsible for certain filings in your state, say so. Overpromising on a marketing page creates liability and broken trust.
We will not invent statutory language for you. You approve wording that matches your counsel and your real service. When the law changes, you send the new blurb; we update the page.
Returning families
Re-affiliation should not feel like starting from zero. A returning path on the same site (“renew”) with updated grades and fees beats a new PDF every year. Keep last year’s contact pattern so parents are not hunting a new email address in August.
Satellite and co-located notes
If enrichment days meet at a church or rented room, publish the address and door. Affiliation is abstract; the building is not. First-day chaos at the wrong entrance becomes an office ticket you did not need.
What the form should capture once
Parent contacts, student names and ages or grades, prior affiliation if any, special notes, and how they heard about you. Optional: document upload links you actually check. Do not ask for twelve attachments on day one if you only need two.
Plain next step
If a working public Register site is what you need, start at https://www.getcccm.com/checkout or email hello@getcccm.com with your school or club name, city, and what you run. If you need staff-desk ops instead, use https://www.getcccm.com/academy-os and expect a conversation — not a self-serve price button.
FAQ
- Can we collect transcript requests on the same form?
- You can add a checkbox or separate “records request” package. Keep money paths clear.
- Do we need a full SIS?
- Usually not to start. Public Register first. Grow ops tools when the spreadsheet pain is real.
- Where do fees go?
- To you. CCCM never holds them.
- How fast?
- About one business day after paid checkout and complete details.
- We are mostly volunteers?
- That is why a rental you do not have to edit yourselves fits.
