Coaches with the right permission open the athlete and call the right adult. They do not text the director for a number during a storm delay.
How contacts get stale
Stale contacts happen when:
- Families change numbers and only tell one assistant - Re-enrollment never asks again - Public Register collected a contact once and ops never inherited it - Divorce or guardianship changes never reached the roster - A "master list" was exported to someone's phone and diverged
The fix is process plus a desk: collect at Register, confirm into ops, let staff update with accountability.
Public collection vs staff access
Your **working site** should gather emergency contacts and photo release at enrollment so parents finish on a phone. Academy OS is where coaches **use** those contacts under permissions. Publishing every family’s phone on a public page is not the goal — ever.

Permissions and privacy
Not every volunteer needs download every contact. Build roles so assistants can view contacts for their group without downloading the academy. Parent views, if any, should edit **their** household — not browse others. We scope that on the call because risk tolerance differs.
Dead-zone backup
Some fields have no signal. Agree on a printable or offline backup for true emergencies without making the printout the only system again. The desk stays the main record; paper is a backup. Update the backup when contacts change, or it becomes fiction.
Re-enrollment is a contact audit
Every re-enrollment season, ask families to confirm phones and pickup authorizations. The public form collects; the desk stores what coaches open. Skipping the audit guarantees stale numbers by winter.
