Collect photo release and directory consent at enrollment, on the same public form that takes the household and the deposit path.
What to ask once, clearly
- May we use photos in school / parish communications (yes / no / limited) - May we include the family in a printed or emailed directory (yes / no) - Which adults and phones belong in a directory if yes - Emergency contacts separate from directory (always collect emergencies) - Sibling names that should not appear in public posts if the answer is no
Use plain language. Avoid legal essays in 9-point type on a phone screen. Link a longer policy if counsel wants one; keep the checkbox human.

Parents miss the table. Volunteers feel rude. Teachers become enforcers. One child is in the class photo; a sibling is not — and nobody remembers why. A completed enroll form with stored answers beats a sticky note on the office monitor.
Faith-community specifics
Some families are glad to be public in the parish. Others need privacy for safety or personal reasons. Both can be true in one school. Do not shame a “no.” Do not ignore a “no” when someone builds the yearbook page.
If ministry newsletters and school social accounts are different, say which consent covers which channel — or keep one conservative rule and stick to it.

Directory is not a public website roster
A family directory for enrolled households is not the same as publishing children’s names on the open internet. Say where the directory lives (email PDF, password page, paper only). Do not accidentally turn “directory yes” into a search-indexed class list.
Returning year
Re-enrollment should re-confirm consent. Families change their minds. Last year’s yes is not forever. A short renew form is enough.
Office workflow
Route form results to the person who actually builds newsletters and directories. A general church inbox that deletes “fyi” mail in July will lose the no’s.
