Show the payment methods parents actually use — Zelle, Venmo, card, Square
Parents will abandon a beautiful Register form if they cannot tell how to pay. "We'll invoice you" is not a plan. List the methods you actually accept, send money to **your** accounts, and stop improvising payment instructions in five different group chats.
Money to the academy — not a middleman
CCCM's working site routes families to register and understand packages. Payment goes to the academy's Zelle, Venmo, card processor, Square, or bank instructions — not into CCCM. That keeps your cash flow clear and avoids "who is holding the deposit?" arguments.
Publish what you accept. If you only take Zelle and card, say so. If Venmo is for camps only, say so. Ambiguity creates support tickets you do not have staff for.
What to show on the site
- Accepted methods (named clearly) - Who to send to (handle / email / last-four if you choose) - What the payment memo should include (athlete name + package) - Deposit vs full season balance - Refund or transfer rules in one short paragraph - What happens after payment (confirmation email, tryout check-in)
Do not paste a wall of bank legalese. Do not hide fees until after someone drives across town.
CCCM working site
- $149 first month, then $99/month, three-month minimum - Register + package clarity; money stays with you - We update payment instructions when you change processors - Checkout: https://www.getcccm.com/checkout - Clubs: https://www.getcccm.com/sports
Tracking who paid hotel for a travel weekend is staff ops. Academy OS is talk-first: https://www.getcccm.com/academy-os — no public OS price.
Invented sample (not a client)
"Cedar Skills Lab (invented) lists Square card link for season deposits and Zelle for clinic add-ons on the same Register page, with memo format 'First Last / U14 season'." Invented — not a live academy.
Why "just Venmo me" fails at scale
One coach's personal Venmo does not scale past a dozen families. Mix personal and program money and you create tax and trust problems. Use a program-named account or processor. Put the same instructions on the site every coach links to.
When a package sells out, stop taking deposits for that package on the public page the same day — even if someone still has an old flyer.
Sibling and multi-athlete notes
Say whether one payment can cover two athletes and how the memo should list both names. Sibling discounts belong next to the package prices, not only in a whispered lobby deal.
Chargebacks and proof without drama
Keep Register confirmations and memo instructions consistent so your treasurer can match deposits. When fees change mid-cycle, update the site the same day — old screenshots in parent group chats cause underpayment arguments you will lose on time.
If you add a new processor, change the public instructions once and tell every coach to delete personal payment posts.
Plain next step
